The Lease Administration Coordinator is primarily responsible for supporting the Lease Administration Department in recording lease information for all stages of a lease; including but not limited to lease origination, commencement, amendments, estoppels, assignments and assumptions, initiating lease payments, and responding to inquiries from lessors. This position also provides services to all levels of the organization, which requires customer service focus and strong interpersonal communication skills both written and verbal.


  • Lease Administration System Super User: Responsibilities include creation of new locations and initial set up of new leases, adding rent schedule and other recurring charges
  • Supports the execution of Real Estate Contract/Lease Documents by printing, tagging for signature, scanning and distributing documents
  • Assist in monitoring Initial Critical Dates and update Project Tracking System accordingly (Lease Effective, Inspection Period, Permit Period, Entitlement Period, Rent Start)
  • Provides leases to third party vendor within timely manner to be abstracted
  • Update and Maintain Pre-Term Rent Report
  • Work with Insurance Broker to provide Landlords with Certificates of Insurance as needed
  • Coordinate and schedule inspections requested by Landlord’s/lenders/appraisers
  • Supports the preparation of Estoppels, subordination, non-disturbance and attornment agreements
  • Work with inter-department partners to support the Lease Renewal Process
  • Assist in providing Franchise Support
  • Maintain physical and electronic storage of Lease Documents
  • Actively participate and support special projects or requests, prepare ad hoc reports as needed
  • Provide Notary Services
  • Prepare FedEx airbills for timely delivery of Real Estate Contract/Lease Documents


  • Bachelor’s degree highly preferred; plus 2-4 years of real estate retail/restaurant development or equivalent experience
  • Real Estate Tracking software experience a plus
  • Understanding of key lease provisions and ability to read and interpret commercial lease language
  • Strong financial/analytical skills
  • Ability to juggle multiple priorities requiring excellent project and time management skills
  • Organized, detail oriented, self-directed, reliable and dependable
  • Ability to produce quality work in a fast-paced office environment
  • Effectively communicate across all levels in the organization
  • Excellent computer sills with advance skills in MS Office products
  • Strong verbal, written and interpersonal communication skills
  • Able to work successfully both independently and as part of a team
