The Executive Assistant to the CEO & Founders provides organizational support in a one-on-one (1:1) working relationship and instructed support to Direct Reports as requested. The Executive Assistant serves as the primary contact point for internal and external constituencies. The ideal individual will be comfortable interacting within all levels of the business and must maintain high levels of confidentiality while providing top-tier support by preparing reports, handling information requests, preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and planning travel.


The Executive Assistant must be creative and enjoy working on a small team with high impact focusing on overall Company functionality. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities.


Calendar: Proactively maintains the CEO’s schedule, while seeking opportunities to maximize CEO’s time through the following:


1. Weekly alignment meetings with a forward looking approach, covering a month-ahead glance

2. Routine reviews of Company & Operations calendar to maintain alignment – annually and quarterly

3. Seeking out and resolving potential conflicts to maintain schedule clarity

4. Establishing routine review of CEO’s calendar to uphold scheduling ground rules & preferences

      • Acting as “gate-keeper” and overall advocate for the CEO’s time
      • Discussions around meetings of exception


Meeting Management & Preparation: Identifying opportunities to assist Founders in preparation of meetings by:


1. Maintaining requests/preparation for agendas and materials 48 hours in advance

2. Routine status meetings to ensure appropriate agendas and follow-up materials

3. Ensuring appropriate agendas and supporting materials for ad-hoc meetings

4. Ensuring agendas are acquired in timely manner with high level summary and general overview to manage expectations for meetings held with parties outside of the Company

5. Take notes in 1:1 meetings and send recaps/action items to those in attendance and manage follow up of action items

6. Assist in Leadership Team coordination (agenda, schedule, request, etc.)

7. Supporting in development and preparation of routine and ad-hoc presentations

8. Ensuring facilities and/or room setup with accompanying technology

9. Ensuring appropriate meeting follow-up is formatted and distributed

10. Supporting with meal ordering & delivery


Business Development: Assist in the implementation and management of the business by:

1. Assisting in Strategic Plan documentation, tracking and follow up

2. Strategic initiatives research

3. Maintain company project board timelines

      • Monthly review of running list with deliverables

4. Competition review as needed


Travel: Maintains & executes travel by:


1. Holding quarterly forward-looking reviews of timelines of travel

2. Looking for opportunities in efficiency in travel (i.e. multi-purpose trips among Operations, Real Estate Tours, Facilities Tours)

3. Minimizing days away from home & office

4. Ensuring travel preferences & expectations are met


General Office Administration:


1. Alignment Meetings

      • Calendar synchronizing
      • Trip planning coordination
      • Meeting planning coordination
      • Special request management

2. Receive incoming phone calls and voicemails

3. Candidate Interview planning & coordination

4. Special requests, projects, or assignments – to be determined


Real Estate: Assist in management of certain real estate functions that relate to the growth of the company.


1. Lease and contract administration (deadline sensitive)

2. Due diligence coordination

3. Manage assembly of real estate packages


Respect, Recognition & Reward (Cane’s Love):

1. Maintains running lists of birthdays, anniversaries, New Hires in Management. Acknowledge and reward accordingly

      • Proposes ideas (i.e. gifts, shout-outs, hand-written notes, etc.)
      • Facilitates in execution of Cane’s Love from the Founders office

2. Plans and execute special events – retreats, dinners, happy hours & other Team off-site events

3. Align Respect, Reward, and Recognition opportunities with all-company meetings and events

4. Find other untapped opportunities for recognition & reward


Personal – There will be personal errands that will need to be run on an as needed basis and may vary pending on needs of the founders.

  • Capability to utilize independent and sound judgement within established procedural framework
  • Be advanced in Microsoft Office Package (Word, Excel, PowerPoint & Outlook)
  • Associate’s degree required, or equivalent experience; four-year degree preferred
  • Minimum two years administrative assistant experience
